7:00 P.M. Mokelumne Hill Library
Present: Kris Ford, Pamela Hill, Julia Costello, James Aarons, Paula Leitzel, Johnny Mac, Lexie Cowgill, Sally Tuttle, Charles Herndon, Ed Cline, Susan Komure.
Absent: Janet Dock, Courtney McDermod.
Kris Ford called meeting to order at 7:05 P.M.. Minutes of 8/12/09 meeting will be reviewed/approved at the next meeting.
Officers Report: Kris regretfully informs the board that Janet Dock has resigned as secretary. She fulfilled her one year commitment with the agreement that she would re evaluate her position at that time. She is no longer able to continue with that office at the present time.
Correspondence: Kris and Charles discuss recent correspondence from Corporate Compliance and Secretary of State. Charles states that he was able to complete appropriate forms and return information to appropriate agencies.
A request was received from Fawn McLaughlin for $100 to assist with expenses for Dec. 20th Moke Hill Christmas Open House. Kris proposes that the money could come from “Community Youth” budget line item in which $300 is presently remaining. Pamela moves that $100 be provided to Fawn for the event, Julia seconds and motion is carried. Charles will get a check to Fawn.
Financial Report: (See attached for copies of Balance sheet and income/expense record.) Re: History Day- One School has still not paid and with no transportation support from Calaveras Unified, it is projected that the Trust will be approximately $300 in the red. Pamela adds that she donated $300 for food coasts for History Day.
Standing Committees: There is no report from either the Budget committee or the Investment committee.
AdHoc Committee Reports:
A. Nominating/Membership- We are presently looking for a new member plus a secretary. Susan suggests that the position of secretary be divided between two individuals, one to act as recording secretary and one person to be correspondence secretary. This committee will meet during the first part of November and Sally will coordinate that meeting date/time/place.
B. Painted Frog- The Parade for “Frogtoberfest” is coming up this weekend (10/17). Since the date is rapidly approaching and we are responsible for frog transportation to Angels, it is unknown as to whether or not our frog will participate. The Frog Gala will take place on 10/30 where the frog must again report for duty. Johnny Mac agreed to consider transporting the frog, at least one way and Pamela suggested that the Biggs family might well we interested in bidding for the frog. Pamela will contact a family member to inquire.
Chairs for Charity- Lexie is working on our chair and the event is scheduled for Jan. 20, 2009.
C. Website: Pamela states that the site is running fine. She is actively looking for someone to take over her role with the site. She continues to encourage all board members and community members to make postings.
D. Library and FOTL: A meeting was held tonight and mention was made of the bookshelves that Pamela donated to the porch area of the library. The shelves have been very well received by staff and community. Sally says that book sale proceeds have been around $200 per month although a recent theft was discouraging. Someone pried open the back door and reached in to the book drop stealing about $20 and damaging two very expensive books. The incident has been reported to the sheriff. Charles Blazer has volunteered to repair the damage and Charles Herndon has suggested that a safety/security bar be installed to prevent future incidents of this sort. Kris says that the first story hour for preschoolers was a big success. She had 11 children in attendance. The story hour will be held the 2nd and 4th Fridays of each month beginning at 9:30 A.M. Sally encourages all present to make any magazine subscription donations to the library as subscriptions are rather limited.
E. Scholarship: This item will be discussed at future meeting when Courtney is present.
F. Town Hall Restoration: Julia announces that the grant money is moving along although the Federal pace is very slow. The most obvious, front area of the Town Hall is coming soon along with extensive historical information being researched and formulated by Judith Marvin. The heating/cooling system bidding will be happening very soon.
G. Summer Arts Program: Ed says that work for next summer’s program will get underway beginning in Jan. 2010.
H. RIF: The event is scheduled for Nov. 24 and the books are ready to be ordered according to Kris.
I. Friends of Moke Hill: Ball Park Snack bar improvements/renovations are underway courtesy of Prop. 40 funding that was approved 5 years ago.
J. California History Day: The event was held on 9/15 and was a great success with over 200 children attending.
Unfinished Business
The cancelled Vet’s fund raiser is still on hold although we will be contacted again to help with the bar when it is rescheduled.
Kris suggests that the Phone Book be discussed at the next meeting.
Julia mentions that volunteers are needed to sell food for the Vets at the Ball Field Snack bar over the weekend of Oct. 17th during a tournament. Anyone interested should call Tom Ringline.

Next meeting is scheduled for Wednesday, Jan. 20, 2010. 7:00 P.M. at the library.
